What we do

We handle the systems behind enrollment
— so it runs without adding to your day.

We start with two or three systems that pay for themselves quickly, then expand once you're comfortable with how it works.

Start here — fast, high-ROI

Grow into — as you scale

Sound familiar?

A school day is full.
So is your inbox.

MONDAY · 7:45 AM

Drop-off takes priority.

You’re greeting families and covering a classroom. A parent calls, and the message waits.

WEDNESDAY · 2:10 PM

The form lands. Then what?

A tour request reaches the shared inbox. Everyone can see it, but no one is clearly responsible.

SATURDAY · 9:14 PM

Parents search after bedtime.

A family finds your school while the office is closed. They need to know their inquiry reached you.

Who we serve

Different programs.
The same need for connection.

Support shaped around your program, your families, and the way your team works.

01 / Early years

Preschools & childcare centers

Help families understand your approach, ask questions, and take the next step toward a visit.

02 / School age

Before & after school

Make program details, availability inquiries, and next steps easier for busy families to navigate.

03 / Seasonal & flexible

Camps & drop-in care

Keep interest from getting lost between a parent’s first question and your registration process.

04 / Your philosophy

Montessori & faith-based programs

Communicate what makes your community distinctive, with messages that reflect your values.

For owners

A clearer view of where families find you, where inquiries stall, and what to improve first.

For directors & educators

Less repetitive follow-up, clearer responsibilities, and more room for the conversations that need you.

For teams across locations

A shared approach with each location’s voice, availability, and staff contacts agreed before setup.

How it works

From first question to first day,
in three steps.

A warm welcome
  1. 01

    Respond instantly

Give families a prompt, school-approved acknowledgment from the inquiry channels we connect—with a clear next step and a real person to turn to.

  2. 02

    Nurture to a tour

Make it easier to arrange a visit, remember the details, and get questions answered. Your team stays involved in the conversations that need a person.

  3. 03

    Turn happy parents into referrals

Build consistent invitations for honest reviews and referrals, so families can share what they value about your school.

Start focused. Grow thoughtfully.

The right support.
At the right stage.

Start with the response and follow-up your school needs most. Add support for reputation and visibility as your needs grow.

Tours & follow-up

Tour reminders, post-visit follow-up, and clearer inquiry or waitlist organization.

POTENTIAL NEXT STEP

Reputation & trust

Consistent invitations for honest parent reviews and a guided process for approved testimonials.

POTENTIAL NEXT STEP

Visibility & your website

A concise online-presence review, clearer enrollment information, and easier ways for families to inquire.

We agree on the scope together before work begins. Chat or voice assistance requires its own technical review, agreed boundaries, and human escalation plan.

Founding-school cohort

We’re partnering with
10 founding schools.

We’re new, and we’d rather show results than promise them.

What founding schools get

  • Direct access to Michele and Peter
  • Hands-on setup and support
  • A voice in what we build next
  • Messages approved by your school
  • Clear reporting and practical check-ins

What could a missed inquiry
mean for your school?

Explore potential missed enrollments and tuition opportunity. Adjust the example assumptions to reflect your school.

Based on your assumptions

14.4

potential missed enrollments from one year’s inquiries

$207,360

potential tuition value over their expected enrollment duration

An illustrative estimate—not measured losses, a forecast, profit, or a guarantee. Actual opportunity depends on available seats, program fit, seasonality, and family choices.

How the estimate works

Annual potential missed enrollments = monthly inquiries × 12 × slow-reply share × share moving on because of the wait × expected enrollment rate. Tuition opportunity = estimated missed enrollments × monthly tuition × expected months enrolled. This is the tuition value associated with a year’s missed-enrollment cohort, not necessarily revenue collected within that year.

Where this started

Peppertree Schools · Los Gatos, CA

Before VPforSchool, Michele worked directly with Peppertree’s owners on branding, marketing, and enrollment strategy. That hands-on experience helped shape this offer: make the school’s story clear, build parent trust, and make it easier for families to take the next step.

Our starting point is the reality of a busy school day—and support that fits it.

PERSONAL REVIEW

Your free marketing & enrollment audit

Tell us how your program runs. We’ll review the path from being found to receiving a helpful response.

Family feedback survey template+

Invite honest feedback, make participation optional, and explain who will read responses. Avoid collecting children’s sensitive information.

  1. How did you first hear about our program?
  2. How easy was it to find the information you needed? (1–5)
  3. Did our response help you understand your next step? (1–5)
  4. How welcome did you feel during your first conversation or visit? (1–5)
  5. What helped you feel confident about our program?
  6. Was anything unclear or harder than it needed to be?
  7. What is one thing we could improve about our communication?
  8. What would you tell another family considering our school?

Ask separately for permission before using any response as a public testimonial.

Local visibility review checklist+

Choose three nearby programs serving similar ages. Record what you observe and the date; this is a comparison worksheet, not an automated report.

  1. Search locally: which programs appear, and are your school’s contact details accurate?
  2. Compare clarity: ages served, hours, educational approach, and location.
  3. Look for trust signals: current photos, useful reviews, and clear staff information.
  4. Follow the inquiry path: can a parent easily find a phone number, form, or tour request?
  5. Check next-step expectations: does the website explain what happens after an inquiry?
  6. Choose one improvement that would make your own parent experience clearer.
Five ways AI can support your enrollment team+
  1. Capture: bring inquiries from agreed channels into one visible workflow.
  2. Clarify: answer approved routine questions and pass sensitive or uncertain ones to staff.
  3. Coordinate: connect families with your agreed tour scheduling process.
  4. Follow up: send approved reminders and helpful next steps with appropriate consent.
  5. Learn: review response times, tours, and drop-off points to guide improvements.

Start with one task. Confirm compatibility, message approvals, human ownership, and how you will measure progress before expanding.

A few fair questions

Before you invite anyone into your enrollment process…

You should understand exactly what the system will—and will not—do.

Are you replacing our staff?+

No. The workflow handles acknowledgment and visibility. Your staff handles judgment, relationships, sensitive questions, and enrollment decisions.

Do we have to replace Procare, LineLeader, or our current system?+

Not automatically. We review what you already have before proposing an integration or change. Compatibility is confirmed during discovery. If the function already works well, you may not need us.

Is this an AI receptionist?+

No. The founding offer uses an approved workflow with human escalation. Open-ended voice or chat would require a separate scope and technical review.

What if we operate several locations?+

We agree on the locations and inquiry sources together. We can start there, measure the result, and discuss a separate scope for additional locations.

Will this increase enrollment?+

It is designed to improve a process that can influence tours and enrollment, but we do not guarantee enrollment or claim causation without evidence.

How much time will this take from our team?+

Plan for roughly two hours across kickoff, message and workflow approvals, acceptance, and training, assuming timely access and decisions.
